Stage 6 Pilot Monitoring & Review

Both teams have a clear understanding of pilot performance, operational impact and platform value, and agree the approach for continuing the Figtree subscription and scaling usage where appropriate.
What happens after the Pilot
Once the pilot period concludes and the outcomes have been reviewed during the Pilot Monitoring & Review stage, Figtree transitions from pilot evaluation into standard platform operation.
At this point, the experimental elements used during the pilot — such as controlled A/B testing and statistical performance analysis — conclude, and the platform continues supporting your teams as part of their normal pricing and leasing workflow.

Where the outcome of the pilot review includes a decision to continue using Figtree, your subscription will automatically continue on an ongoing basis in accordance with the SaaS agreement.
We believe Figtree will deliver significant ongoing value to your portfolio, however, for peace of mind, the agreement allows you to terminate the subscription for convenience at any time with three months’ written notice.

With the pilot phase complete, Figtree becomes integrated into your team’s day-to-day leasing and pricing workflow.
Operational teams will use the platform to review and apply pricing recommendations, manage price changes through approval workflows, monitor leasing performance, compare rents with local market data, and analyse pricing behaviour and performance trends using Figtree’s AI assistant.

Where the outcome of the pilot review includes a decision to extend Figtree to additional properties, we will work with your team to create a rollout plan for onboarding those schemes.
Where the platform is not expanded immediately, additional properties can still be onboarded at any time using a streamlined onboarding process that typically requires less setup than the initial pilot.

With the pilot evaluation complete, this experimental testing phase concludes. Ongoing pricing performance is instead monitored through the platform dashboards, reporting tools and performance insights available within Figtree.
These tools enable your team to continuously track pricing behaviour, leasing performance, and market positioning as part of normal operations.
How Pilot Performance is Assessed
During the pilot period, performance will be assessed and documented in the Pilot Tracker using Figtree’s standard success metrics. These metrics allow both teams to evaluate pricing performance objectively and compare outcomes across properties and portfolios.
The metrics focus on revenue performance, occupancy outcomes, pricing accuracy, market alignment and operational adoption. Together they provide a clear view of how the pricing engine performs in practice and how effectively the platform supports day-to-day pricing management.

Performance is assessed by comparing achieved rent against manual pricing approaches, alongside revenue per available unit and revenue per available month.
To ensure a fair comparison, controlled A/B testing using stratified sampling is used to compare algorithm-driven pricing with manual pricing across similar unit types and conditions. Statistical analysis is then used to assess confidence that algorithm performance exceeds manual pricing.
What good looks like: Improved revenue performance while maintaining or improving occupancy.

Occupancy performance is assessed by monitoring overall occupancy rate and average void duration across the pilot properties.
This ensures that pricing recommendations support revenue optimisation without negatively impacting occupancy performance.
What good looks like: Stable or improved occupancy with reduced void exposure.

The performance of the pricing engine is measured through forecast accuracy and operational pricing outcomes.
Forecast accuracy is measured using Mean Absolute Error, which represents the average £ difference between the recommended price and the final let price, and Mean Absolute Percentage Error, which represents the average percentage difference between the recommended price and the final let price.
Additional indicators include the average number of price drops per let, the average time from listing to let, and price explainability, which shows how unit attributes influence each recommended price.
What good looks like: Forecasts aligned with demand, minimal or no price drops required, and pricing recommendations that can be clearly explained and justified

Operational adoption is assessed by reviewing platform usage activity and the percentage of recommended prices that are manually overridden.
This helps ensure the platform is being used consistently within operational workflows and that pricing governance processes are being followed.
